“How much does a custom CRM cost?” is one of the most common questions we get — and one of the hardest to answer without context. The honest answer is: it depends on what your CRM actually needs to do. But “it depends” is not useful without a framework for what it depends on. This post gives you that framework, along with real price ranges for custom CRM development in India.
What makes a CRM expensive
The price of a custom CRM is driven by three variables: the number of distinct workflows it needs to handle, the number of external systems it needs to connect to, and the complexity of the reporting and dashboards required. Each of these adds development time in ways that are not obvious from a feature list.
- Workflows:A CRM for a standard sales pipeline (lead → qualified → proposal → won/lost) is straightforward. A CRM for a dispatch operation, a logistics company, or a lab — where the “pipeline” is actually a set of operational states with time-sensitive transitions — is significantly more complex.
- Integrations: Every external system that needs to connect to the CRM — WhatsApp Business API, Razorpay, Tally, GST portal, a custom ERP — is a meaningful piece of additional work. Integrations are where timelines and budgets most often expand.
- Reporting: Displaying data is cheap. Aggregating it across time, filtering by multiple conditions, exporting to Excel or PDF on demand — these add up. Most business CRMs need at least some of this.
Realistic price ranges for India
These are ranges based on projects we have scoped and built. They assume a Delhi NCR or India-based development team working at quality rates — not the lowest-cost option, and not a large enterprise consultancy.
- Basic CRM — ₹1,50,000 to ₹3,00,000: Lead tracking, a simple pipeline, contact management, basic notes and history. One user role. No external integrations. Suitable for a small sales team with a standard process.
- Mid-complexity CRM — ₹3,00,000 to ₹7,00,000: Multiple user roles with different views, 1–2 external integrations (e.g., WhatsApp notifications, Razorpay payment capture), custom workflow states, and a reporting dashboard. This is the range most growing businesses fall into.
- Complex CRM — ₹7,00,000 to ₹15,00,000+: Multiple teams with separate workflows, deep integrations (Tally export, GST portal, third-party APIs), audit logs, advanced reporting, mobile-responsive field views, and role-based access with approval chains. Enterprise operations, logistics platforms, multi-branch businesses.
The number that matters is not the build cost — it is the build cost divided by the number of years you will use the system. A ₹5,00,000 CRM used for five years costs ₹8,333 per month. Compare that to your current SaaS subscription, plus the cost of the workarounds it generates.
What is not in these estimates
A few things that commonly cause scope expansion when they are not discussed upfront:
- Data migration: Moving historical data from spreadsheets, an old CRM, or a legacy system is a separate project. It is often underestimated.
- Training and documentation: A handoff without documentation means your team will call the developer every time something is unclear. Good handoff is worth budgeting for separately.
- Ongoing support: Post-launch bugs, feature additions, and maintenance are not included in a fixed project estimate. A monthly retainer is the right model for this.
Custom CRM vs SaaS: the real comparison
The SaaS option looks cheaper on day one. But the comparison changes when you account for total cost of ownership over three to five years. A ₹4,000/month SaaS subscription is ₹2,40,000 over five years — before per-seat pricing, before the plan upgrade you will need in year two, and before the cost of the workarounds the tool generates for the things it does not quite do.
The correct comparison is: SaaS subscription (full cost over five years) plus the cost of the workarounds, versus custom build cost plus a maintenance retainer. For businesses with non-standard workflows, the custom option is frequently cheaper over five years — and significantly more capable.
