Ask a storekeeper how much of an item is left and they will tell you a number. Ask the spreadsheet and it gives you another. Ask the accounts entry and you get a third. If you run a shop, distribution business or workshop in India, you probably already know the feeling, and the problems with inventory management spreadsheets begin right there.
A spreadsheet is a fine place to start. It becomes a problem when several people write to it, orders depend on it and decisions are made from numbers nobody fully trusts.
Where an inventory spreadsheet starts to fail
- Two people, two versions. One person edits a copy at home, another edits the shared file, and the totals no longer match.
- No history. You can see the current number, but not who changed it, when, or why. A wrong number cannot be traced back.
- Stock and orders live apart. The sheet does not know that an order was confirmed this morning, so the same units are promised twice.
- Reordering is manual. Nobody is alerted when an item drops below a safe level. Someone has to notice.
- One person holds the logic. The formulas make sense only to the person who wrote them, and when they leave, so does the understanding.
What proper inventory software changes
Stock moves are recorded as events: goods received, goods sold, goods transferred, goods damaged. The current count is the sum of those events, so every figure has a trail. Orders check stock before they are confirmed. Minimum levels trigger a purchase order draft. Invoices come out of the same record, so billing and stock cannot drift far apart.
A stock number you cannot trace is an opinion, not a count.
Do you need custom software, or a packaged tool?
Be honest about this. A packaged inventory app is often the right answer for a single location with a standard catalogue. It is cheaper, and someone else maintains it. Custom software is worth considering when you deal in unusual units or batches, have customer-wise price lists, run several locations, or find that per-user pricing keeps climbing. We lay out how we approach this on our inventory and order management software page.
Whichever you pick, the software only reflects what people record. If goods leave the shelf without being scanned or entered, no system will give you a correct count.
Moving off the spreadsheet without a mess
Start with a clean item list and a physical stock count. Load opening balances once. Then run the old sheet and the new system side by side for a short period before switching. For distributors, the wholesale and distribution page explains the order side, and workshops can look at software for auto workshops.
If your stock number depends on who you ask, tell us how goods move through your business. We build from Delhi NCR for clients across India, and we will say if a packaged tool is the better buy. Start on our contact page.
