What this is
Most small sales teams don't lose deals to a competitor. They lose them to a lead nobody called back. The enquiry arrived on the website form, a second one on WhatsApp, a third as a missed call, and by Thursday nobody was sure who had spoken to whom. A lead management system puts every enquiry in one list with an owner and a next step. It is not complicated software, which is exactly why it is worth getting fitted to your sales process instead of bending your process around a generic CRM.
Who this is for
- Sales teams of 3 to 25 people in manufacturing, distribution, real estate, education or services
- Owners who personally follow up on leads and know some are slipping through
- Businesses that tried a big CRM, found it heavier than the job needed, and went back to Excel
- Teams that get enquiries from the website, phone, WhatsApp and walk-ins and want them in one place
What problem this solves
If two or more of these sound familiar, it is worth a conversation.
Enquiries arrive in five places
Website forms, email, WhatsApp, calls and referrals each end up in a different inbox. Nobody sees the whole list.
Follow-ups depend on memory
If a reminder lives in someone's head or a sticky note, it gets missed the week things get busy.
No idea who owns what
Two people call the same lead, or nobody does, because there is no clear owner and no history of what was said.
The pipeline is a guess
Without stages and quote tracking, a sales forecast is a conversation, not a number.
What Nimbryx actually builds
Every one of these is built around how your team already works.
A single lead inbox
Website forms, email enquiries and WhatsApp Business messages land in one list, tagged with their source.
Assignment rules
New leads go to the right person by region, product or round-robin, with a notice sent straight away.
Follow-up reminders
Each lead has a next step and a date. Overdue follow-ups are flagged to the owner and the manager.
Pipeline and quote tracking
Stages that match how you sell, with quote status and value so you can see what is likely to close.
Call and visit notes
Every conversation logged against the lead, so a colleague can pick it up without asking.
Simple reports
Leads by source, response time, conversion by stage and by salesperson, without a spreadsheet export.
Mobile-friendly screens
Reps can update a lead from a phone straight after a call or a site visit.
How this typically works
From the first conversation to a working system.
Step 1
Trace how a lead moves today
We follow a few real leads from first contact to closed or lost, and note where they stall.
Step 2
Fit the stages to your sales process
Stages, fields and reminder rules come from how you actually sell, not from a template.
Step 3
Connect the channels
Website forms first, then email and WhatsApp Business where the API access is available.
Step 4
Train and tune
A short training session, then adjustments after your team has used it for a few weeks.
The stack we’d likely use
Mature, well-supported tools. The final choice depends on your project, and we explain it before we start.
- Next.js
- Node.js
- PostgreSQL or MySQL
- WhatsApp Business API
- Email parsing
- Webhooks
An honest note
When this isn't the right call
If you get a handful of leads a week and one person handles all of them, a spreadsheet and a calendar reminder is enough. A bigger CRM from a SaaS vendor is also reasonable if your process is standard and you are happy with per-user pricing. A custom lead system earns its cost when your stages, fields or channels are specific to you. We also cannot make a team use software it dislikes, so we involve the people who will use it from the first week.

Can leads from WhatsApp come into the system automatically?
Yes, through the official WhatsApp Business API. That needs a verified business account and message templates approved by Meta. We explain the setup and the per-conversation charges Meta applies before you commit.
How is this different from Zoho or HubSpot?
Those are good products if your process fits them. We build when you need your own stages, fields and channels, want to avoid per-user pricing as the team grows, or want the data to live in a system you control.
How long does it take to build?
A focused lead tracker with a shared inbox, assignment, reminders and a pipeline view usually takes 3 to 6 weeks. WhatsApp and email integration is scoped separately.
Can we start small and add to it?
Yes. Most teams start with the inbox, owners and reminders. Quote tracking, reports and extra channels are added once the team trusts the first version.
