There is a person in most offices whose real job is typing. Bills into the accounts tool, orders into the ledger, enquiries from WhatsApp into a sheet. They are careful and they are busy, and almost everything they enter was already typed by someone else. If you want to reduce manual data entry in your business, start by finding the second keystroke.
The cost is not only their salary. It is the errors, the delay between something happening and it being recorded, and the fact that a skilled person is spending the day copying.
Find the places where data is typed twice
Walk through one order, from the moment it arrives to the moment it is paid for. Note every time someone types, copies or re-keys a piece of information. Most businesses find three or four such points, and the pattern is always the same: a system produces data, a person carries it to another system by hand.
- A web form enquiry that is copied into a sales sheet.
- A supplier invoice that is read off a PDF and typed into accounts.
- A sale in one tool that is re-entered in another to update stock.
- A customer status that is typed into WhatsApp when it is already in a system.
Four ways to cut manual data entry
Capture it once, at the source. A proper form or portal where the customer or salesman enters details directly removes the middle step entirely. It is the best fix when you control the starting point.
Connect the systems. If two tools both need the same record, an integration can pass it across. This is the job of API integration, and it works well when both tools have a usable API.
Read documents automatically. For bills and forms that arrive as PDFs or photos, OCR can read the fields and show them to a person for a quick check. We describe how that works, and where it fails, on our invoice and document automation page.
Remove the entry that has no reader. Sometimes the answer is to stop recording something nobody uses. Ask who reads each column before you automate it.
The cheapest data entry to fix is the one nobody would miss.
What automation will not fix
Software moves data faster, but it does not know whether the data is right. If an invoice is wrong at the source, it will be wrong everywhere, quickly. That is why we keep a human review step wherever money or compliance is involved. It is also why the first week of any automation project should include looking at the quality of what goes in.
If your staff only spend an hour a week on entry, the savings will not justify a project. Automation pays when the volume is steady and the task is boring enough that errors creep in.
If you can name the task where someone re-types the same data every day, we can tell you whether to automate it, connect it or drop it. Nimbryx works from Delhi NCR with businesses across India. Tell us about it on our contact page, or look at our business automation service.
