A Delhi-based NGO managing 6 livelihood programmes
How Nimbryx built a custom NGO management platform for a Delhi NGO — cutting quarterly grant report time from 5 days to same afternoon and closing an FCRA compliance gap.
Next.js · Node.js · PostgreSQL · PDF generation · Role-based access control · Document vault
Same day (was 5 days)
Grant report generation time
24 hrs (was manual)
Donor 80G letter turnaround
100%
Beneficiary records digitised
The problem
Donor records in Excel, beneficiary case files in paper folders, grant utilisation tracked manually against budget heads in a separate spreadsheet. Quarterly grant reports took 5 days to compile — a process that involved hunting for documents across filing cabinets and matching disbursements to programme milestones by hand. A FCRA compliance audit the previous year had flagged missing donor acknowledgement letters. No system existed to track whether a beneficiary had completed programme milestones or was still mid-journey.
What we built
An NGO management platform with a donor CRM tracking contributions and auto-generating 80G acknowledgement letters, grant management with budget head tracking and utilisation reports, beneficiary registration with per-programme milestone tracking, a document vault with role-gated access, and quarterly grant report generation that compiles utilisation data directly from the system rather than from manual spreadsheet work.
What it includes
Outcome
Quarterly grant report generation reduced from 5 days to the same afternoon. 80G donor acknowledgement letters now auto-generate within 24 hours of a donation being recorded — the FCRA compliance gap that triggered the previous audit is closed. All 6 programmes have 100% of their beneficiary records digitised. The programme director's team now uses the data actively to identify beneficiaries who have stalled mid-programme rather than discovering it only at the end of a cycle.
Common questions
Does the NGO system support FCRA compliance and foreign donation tracking?
Yes. Foreign contributions under FCRA are tracked separately from domestic donations, with the required donor details and purpose categorisation stored against each entry. The system maintains the audit trail required for FCRA annual return filings. We scope specific compliance requirements during discovery since FCRA rules are updated periodically.
Can the system generate 80G receipts and handle CSR donation reporting?
Yes. 80G receipts are auto-generated on recording a domestic donation, with the required registration number, date, and amount. For CSR donations (Section 135), we build the specific receipt and utilisation certificate format required by the corporate donor. Both are generated as PDF and emailed directly to the donor from the system.
How long does it take to build NGO management software?
A standard NGO management platform — donor CRM, grant tracking, beneficiary management, and document vault — typically takes 12–16 weeks. If you need a public-facing donor portal or integration with payment gateways for online donations, add 4–6 weeks. We prioritise the components that fix your most urgent pain point first so you're not waiting for everything before seeing value.
What does NGO management software cost in India?
Custom NGO management software typically runs ₹4–10 lakh depending on the number of programmes, compliance modules, and whether you need a public donor portal. We also offer phased builds where Phase 1 (donor and grant management) can go live for a smaller initial investment. We provide a written fixed estimate before work begins.
